How to Create Trips

Weekend Trips

Access the Dashboard: Log in to the caving crew website dashboard using your credentials.

Navigate to Products: Once logged in, locate and click on the “Products” option in the dashboard menu.

Search for Templates: In the Products section, use the search box located on the top right-hand side to search for the word “template.”

Select the Template: Among the search results, identify the template that corresponds to the type of trip you want to create, such as weekend trips.

Duplicate the Template: Click on the selected template and look for the “Duplicate” option. Clicking this option will create a copy of the template for customization.

Rename the Trip: After duplicating the template, rename the trip to reflect specific details such as the month, location, and type of trip. For example, “February Yorkshire Caving Weekend.”

Fill in Trip Details: Enter all relevant trip details, including the dates, location description, and any additional information about the trip’s activities and accommodations.

Configure Trip Features: Customize various trip features such as hut facilities, availability, primary activity, accommodation description, and frequently asked questions (FAQs).

Adjust Pricing: Set the pricing for the trip, taking into account any discounts for members and different pricing structures for non-members. Ensure accuracy in pricing details.

Review and Save Draft: Before finalizing, review all entered details thoroughly. If further adjustments are needed or if you’re not ready to publish, save the draft to revisit later.

Preview the Trip: Utilize the preview feature to see how the trip will appear on the website to users. Check for any formatting issues or missing information.

Finalize and Publish: Once satisfied with the trip details, proceed to publish the trip by clicking on the “Publish” button. This action makes the trip live and accessible to website users.

Check the Website: After publishing, refresh the website to ensure that the newly created trip appears correctly and is accessible to users.

Check Additional Features: Verify that additional features, such as plans and kit lists, are correctly displayed on the trip page.

GiggleTrips

  • Go to the “Products” section and then “All Products”.
  • Search for the “Bagshaw Beginners Giggle Trip” template.
  • Click “Duplicate” to create a new trip based on this template.
  • Update the date, trip leader, and other details as needed.
  • Confirm if this is a “Mystery Trip”, “Known Location”, or “Giggle Trip” – in this case, it’s a Giggle Trip to Bagshaw Cavern.
  • Fill out the details about the venue, required gear, skills, pricing, and trip logistics.
  • Update the trip leader to be “Jane”.
  • Decide if under-18s and dogs can participate.
  • Adjust the variations section – there are two options, one for helping to lead the trip and one for joining as a participant.
  • The aim is to have 6 participants, with 7 being preferable to account for potential dropouts.
  • There are 5 spaces for participants at £18 each, and 2 leader spaces at a discounted rate of £3 each.
  • Review the kit list and make any desired modifications.
  • Preview the trip page to ensure it looks correct.
  • Publish the trip on the website.
  • If the event has been run, you can set the visibility to “Private” to remove it from the public website.

Known location trips

Based on the additional information provided, here is an updated step-by-step guide for creating a “Known Location” trip:

  1. You currently do not have a pre-built template for “Known Location” trips, but it will be similar to the “Mystery Trip” template.
  2. The “Known Location” template will allow you to specify the destination cave name and provide a 2-sentence description of the trip.
  3. The event creation form will be largely the same as the “Mystery Trip” template, just with the additional fields for the cave name and description.
  4. The FAQ section may need more tailoring to the specific cave being used for the “Known Location” trip.
  5. The process for making the trip private after the event has been run will be the same as with the “Mystery Trip” template.
  6. You have just duplicated the “Mystery Trip” template to create a starting point for a “Known Location” template.
  7. The new template will have fields for the cave name, a 2-sentence description of the trip, and other details specific to the known location.
  8. The pricing structure and other logistics will remain the same as the “Mystery Trip” template.
  9. You may want to consider adding a checkbox for participants to indicate if they have all their own vertical and horizontal caving gear, versus needing to borrow equipment.
  10. You will thoroughly test the new “Known Location” template to ensure it displays and functions correctly before making it available to users.

The key differences are the addition of fields for the specific cave location and trip description, while the overall structure and functionality will be very similar to the existing “Mystery Trip” template.
